What we collect, why we collect it, who sees it, and how to get it back or get rid of it.
This policy explains how My Wedding Network ("MWN", "we") handles personal information. We follow the Data Privacy Act of 2012 (Republic Act No. 10173) and its implementing rules. If anything here is unclear, write to our Data Protection Officer and we will explain it.
| Account | Name, email address, phone number, password (stored hashed — we never see it), role, and a short profile. |
|---|---|
| Wedding | Partner name, wedding date, venues, budget figures, timeline, mood board, gift registry and microsite content. |
| Guests | Names, email addresses, RSVP responses, plus-one details, seating and check-in status — entered by the couple. |
| Supplier business | Business name, category, address, contact details, pricing, portfolio and availability. |
| Verification | Business registration documents (DTI, BIR, SEC) and a government-issued ID, where a supplier chooses to apply. |
| Transactions | Bookings, contracts and signature records (including the IP address and browser used to sign), and payment records. |
| Communications | Messages sent between couples and suppliers, and notifications we send you. |
| Technical | IP address, browser type, and pages visited, used to keep the service secure and working. |
We do not ask for, and ask that you do not send us, health information, religious affiliation or any other sensitive personal information beyond the identity documents described above.
| To provide the service | Running your account, matching couples with suppliers, producing contracts, keeping the payment ledger. Basis: performance of our contract with you. |
|---|---|
| To verify suppliers | Checking registration documents so couples can see who has been verified. Basis: consent — verification is optional. |
| To keep MWN safe | Preventing fraud, impersonation and abuse. Basis: legitimate interest. |
| To communicate | Booking notifications, contract and RSVP emails, service announcements. Basis: contract and legitimate interest. |
| To improve MWN | Understanding which features are used. Basis: legitimate interest. |
| To comply with law | Tax, accounting and lawful requests. Basis: legal obligation. |
We do not sell your personal information, and we do not share it with advertisers.
Part of our supplier directory was compiled from publicly available business information so that couples could search a useful directory from the start. These listings carry business details only — name, category, address, business contact details — and are marked unclaimed.
If your business appears and you want it removed, tell us and we will remove it. Email [SUPPORT EMAIL] from an address associated with the business, or use the removal link on the listing. We will act within [X] business days, and you do not need an account to ask. You may also claim the listing instead and control it yourself.
If you apply for verification, you send us business registration documents and a government-issued ID. These deserve particular care, so:
You may ask us to delete them once a decision has been made. We will keep a record that verification was granted or refused, and the date, but not the documents themselves.
When a couple adds guests, they are providing other people's personal information. The couple decides what to enter and who to invite; we process it on their behalf to send invitations, collect RSVPs and produce seating plans and check-in codes.
If you are a guest and want your details removed, ask the couple first — it is their list. If that is not possible, contact us and we will help.
| Suppliers you contact | See your name, contact details, wedding date and what you asked for. They do not see your budget or your other suppliers. |
|---|---|
| Couples | See a supplier's public profile, pricing and reviews. |
| A planner you delegate to | Sees only the modules you switch on, and only while you leave them switched on. Budget totals are shared only if you separately allow it. |
| Guests | See your microsite and their own invitation. They do not see your guest list or your suppliers. |
| MWN administrators | Can access data where needed to operate the platform, resolve disputes and review verification. |
| Authorities | Where we are legally required to disclose. |
We use a small number of third parties to run MWN. They act on our instructions and are bound to protect your information:
| Email delivery | To send invitations, notifications and receipts. |
|---|---|
| Hosting and database | To run the platform and store its data. |
| Payment providers | When online payments are enabled, a licensed provider processes the transaction. We do not store card numbers. |
| AI provider | Powers the planning assistant, described below. |
Some of these operate outside the Philippines, so your information may be processed abroad under appropriate safeguards. Current providers are listed at [PROCESSOR LIST URL].
Our budget assistant sends your wedding's budget figures, guest count and category preferences to an external AI provider to generate a suggested plan. We do not send names, contact details or guest lists. If the assistant is unavailable we fall back to a standard Philippine wedding budget model, which involves no external service at all. You are never required to use the assistant.
| Account and wedding data | While your account is open, then [X] months after closure. |
|---|---|
| Contracts and payment records | [X] years, because both parties and tax rules may require them. |
| Verification documents | Until a decision is made, plus [X] months — or sooner on request. |
| Messages | While both accounts remain open. |
| Technical logs | [X] months. |
No system is perfectly secure. If a breach occurs that is likely to put you at risk, we will notify you and the National Privacy Commission as the law requires.
Under the Data Privacy Act you have the right to:
To exercise any of these, email [DPO EMAIL]. We will respond within [X] days. We may ask you to confirm your identity first, so that we do not hand your data to someone else.
We use cookies that are necessary for the service to work: keeping you signed in, protecting forms against cross-site request forgery, and remembering which wedding a planner is currently managing. We do not use advertising or third-party tracking cookies. Blocking essential cookies will stop you being able to sign in.
MWN is not intended for children, and accounts are for adults aged 18 and over. A couple may list a child as a wedding guest; we process that only to manage the invitation and seating. If you believe a child has created an account, tell us and we will remove it.
We may update this policy. If a change materially affects how we use your information, we will tell you in the app or by email before it takes effect. The effective date at the top always reflects the current version.
